Job Description:

The Admin/HR Internship provides an opportunity for individuals pursuing a career in Administration and Human Resources. The internship allows qualified candidate to gain practical experience and develop essential skills. As an Admin/HR Intern, you will support the Admin/HR Department in various administrative tasks and contribute to the overall Admin/HR functions within the organization. Your role will involve learning about Admin/HR processes, assisting with Admin/HR initiatives, and providing support to employees and management.

Key Responsibilities:

Administrative

  • Providing support to staff members in other departments as needed.
  • Performing clerical tasks such as filing, scanning documents into an electronic system, and making copies of documents.
  • Making travel arrangements for AREUO staff, including booking vehicles and arranging accommodations and transportation.
  • Preparing monthly duty schedules for AREUO guards, drivers, cleaners, gardeners, etc.
  • Keeping the leave record of security and transport departments.
  • Listening to the request made by the guards and making necessary arrangements.
  • Preparing purchase requisition form for departmental needs.
  • Drafting letters and memos as directed by supervisor.
  • Conducting regular market survey and obtaining quotation as required for any purchases.
  • Assisting the Administration Manager with security related issues.
  • Performing other reasonable tasks as assigned by the supervisor.

Human Resources

  • Administrative and Human Resources Support: Assisting the Admin/HR team with day-to-day administrative tasks, such as data entry, filing, and document management, including maintaining accurate and up-to-date employee records.
  • Recruitment and Selection: Supporting the HR team in the recruitment and selection process, including job postings, reviewing resumes, scheduling interviews, and conducting reference checks.
  • Onboarding and Offboarding: Assisting with the onboarding process for new hires, which may include preparing and organizing new hire paperwork, coordinating orientation sessions, and conducting employee orientation activities. Additionally, assisting with off boarding tasks such as conducting exit interviews and updating employee records.
  • Employee Relations: Supporting Admin/HR team members in handling employee inquiries and concerns, maintaining confidentiality, and ensuring prompt and effective resolution of employee issues.
  • Preparing and/or maintaining documentation, including personnel files, leave and attendance records, timesheets, overtime sheets for guards and drivers, and employment agreements for national staff and consultants, ensuring that all forms are properly filled out and have the necessary approvals.

Qualifications:

Currently pursuing or recently graduate with a degree in Human Resources, Business Administration, Law, and or a related field.

Basic understanding of Admin/HR principles, policies, and practices.

Good communication and interpersonal skills.

Organizational and time management abilities.

Detail-oriented with a high level of accuracy.

Proficient in MS Office applications, particularly Excel, Word, and PowerPoint.

Ability to maintain confidentiality and handle sensitive information.

Enthusiastic, proactive, and a quick learner.

The salary for this position will be determined commensurate with qualifications, taking into consideration AREUO’s overall salary scale for internship programs.
